Project Assistant (Manpower Pooling)
General Description

The Project Assistant provides assistance in project implementation : liaison work with the various internal and external parties, reports generation in an effective and timely manner, assists in work plan development in consultation with key stakeholders and uses the work plan in the assigned project as guide in the delivery of target activities in the assigned project site, assistance in site activities and application of technical know-how to the community, communicating to the project management issues and concerns relevant to the implementation of the program in his assigned project. 

Specific Duties and Responsibilities

  1. At the site level, assists in coordinating activities to ensure timely and effective implementation of annual work plans and targets including the collection of data for monitoring of project performance. Exercises excellent coordination work in site-based activities. 
  2. Helps build effective working relationships and facilitates the involvement and participation of the appropriate community stakeholders and other partners to support the implementation of project activities. 
  3. Supports in the monitoring and provides liaison and logistical assistance to the Project Coordinator to ensure delivery of target objectives. 
  4. Prepares and make presentations of updates on field work and assist the Project Coordinator in the preparation of site work and financial plans and timely progress reports on project progress. 
  5. Assists in the preparation of drafts and/or provides inputs in the preparation of information, education, and communication (IEC) materials, e.g. press releases and other IEC materials designed to raise awareness and build capacity of stakeholders. 
  6. Assist other WWF staff (forester, GIS team, Communications, etc.) in relation to the project. 
  7. Other agreed upon duties assigned by Project Manager. 

Working Relationships

Internal: Within WWF Philippines, this post reports to the Project Coordinator and interacts with senior management and WWF staff and volunteers. 

External: Consultants, grantees, government officials, community leaders, stakeholders, other NGOs, the media and private sector. 

Minimum Expected Output

  1. Documentation of consultative meetings, dialogues, activity orientation and implementation and other project activities (e.g., attendance sheets, documentation of procedures, results/decisions made). 
  2. Liquidation reports of all cash advances for project activities. 
  3. Itinerary or trip reports and relevant accomplishment reports on trips outside project site. 
  4. Proof of distribution of IEC materials, e.g., receiving copies of publications, photos of mounted billboards, etc. 
  5. Updated file of copies of legislations (SB, barangay) related to project advocacies. 
  6. Relevant program and status reports of the project, including work plans, budgets and monitoring reports. 

Minimum Position Requirements

  • Education
    • University or advanced degree in community development or social work with minimum background on related natural resource management. 
  • Work Experience
    • Preferably at least 1-year volunteer experience in conservation projects especially in similar settings with the project site. 
  • Special Qualities/ Skills Required
    • Strong people management and facilitation skills. 
    • Positive attitude and an organized approach to work. 
    • Good decision-making skills and requires no or very minimal supervision.
